How to digitize your hotel room service, step by step
Digitizing room service is not an IT project: it is one well-spent afternoon. This guide walks the full route, in the order that avoids rework.
1. Decide the launch scope
The temptation is to digitize everything on day one: rooms, pool, spa, scheduled breakfasts. It works better to start with a short scope (rooms and one menu) and expand by area once the flow runs on its own. The system handles everything from day one; your team appreciates the curve.
2. Prepare the menu that actually sells
The digital menu is not your printed card on a screen: it is a storefront. Three rules to build it right from the start:
- A photo per dish, even from a phone in good natural light. A dish with a photo competes; one without gets skipped.
- One or two sentence descriptions that tempt and clarify: what it includes, how big it is, what makes it special.
- Sections with real hours: breakfast, hot kitchen, 24/7 snacks. The guest should never see what you cannot serve right now.
3. Generate and place the QR codes
One QR per room, tied to that room: the order is born with its origin and the charge finds its folio. Place it where the craving happens (the nightstand and the table, not behind the door) with a decent stand: acrylic or rigid card, not a folded sheet.
4. Turn on the kitchen panel
Any tablet or computer with a browser works. Put it where the kitchen already looks (next to the pass) and turn the alert volume up. Golden operating rule: the card moves column the moment reality changes, not at the end of the shift.
5. Define the payment
Charge to the room folio for guests with a stay, pay on delivery for outside visitors. If your ordering engine lives inside the hotel system, like Room Order inside R2 OS, this is a setting, not an integration.
6. Run the pilot and measure
One week with your team ordering from real rooms surfaces 90% of the adjustments: a missing photo, a wrong schedule, a dish without a price. After the pilot, review best sellers, peak hours and spend per stay weekly, and adjust the menu with data.
